Introduction

At IBC Brussels we take your privacy and how we deal with the personal information gathered by us seriously.  This document serves to outline the details of our privacy policy to help you take an informed decision about the personal data you share with us.

IBC Brussels vzw/asbl conforms to the EU General Data Protection Regulation (GDPR) approved by the EU Parliament on 14 April 2016 with and enforcement date of 25 May 2018

This policy has last been updated on the 19th of May 2018. Updates to the privacy policy are communicated to all members and regular visitors for whom we have contact details and via our website.

What information do we collect

We only collect personal data which is shared with us on voluntary basis. This can be when you sign up as a member, regular visitor or as a participant to one of the different ministry activities of IBC Brussels. Your personal data may also be shared with us via emails sent to the office or other ministries either directly or via the contact forms provided on our website. Personal data may also be shared with us when you make donations or payments to IBC Brussels via the banking system and when IBC contracts services from you or buys products from vendors.

The information that we collect may include: First Name, Surname, Address, Telephone number, Email address, Age, Birthday, Membership status, Ministry preferences, Names of your minor children, the Age of you minor children, Information about dietary restrictions of your minor children under our care, Banking details, photos of you and or your minor children and other information that supports the functioning of a certain ministry. We aim to collect only the minimum required personal information for the specific purpose at hand.

How we use information that we collect

We believe it is important to be transparent on how we use the information which we collect. At IBC Brussels we will use your data for one or more of the following purposes:

  1. Maintaining and accurate record of members and regular visitors
  2. Registering participants of the IBC ministry events and activities
  3. Keeping members and regular visitors informed e.g. by the distribution of newsletters and other electronic communication related to the ministry activities of IBC Brussels
  4. Internal processing of data to support the ministries of IBC Brussels (e.g. children’s Sunday school, library, IBC’s care ministries, prayer ministry, etc.)
  5. Processing of data for the personal administration (applicable to staff only)
  6. Other purposes for which specific consent will be asked up-front:
    1. Publication of contacts details in the IBC Brussels Directory (paper copy distributed to IBC members and regular visitors only)
    2. Staying in touch with former members of IBC (newsletters, fund-raising drives, etc.)
    3. Other purposes approved by the leadership team of IBC Brussels

Transparency and choice

As stated above, we believe in full transparency about the data which we collect and the purpose for which it will be processed. You at all times have the choice when it comes to sharing personal information with IBC Brussels. Please also see our section – Data Protection Officer – below.

Accessing and updating your personal information

We do our best to keep our databases accurate and up to date, to the extent that you provide us with the information we need to do so. The personal data which we collect is always available to you for review and to have it updated. The database file with our membership and regular visitor details is controlled by our office manager.

In the case of specific ministry activities, the responsible team leader is your contact point.

Retention of Personal information

We will retain your information for as long as you are a member of IBC or a regular visitor of IBC.  We may also retain and use your data to comply with our legal obligations, resolve disputes, prevent abuse, and enforce our Agreements.

Information that we share

IBC Brussels does not share or sell your personal data with other entities for commercial purposes. The only sharing that is allowed is that which fits one of the purposes as defined in the section “ How we use information that we collect” above. As an example your email data may be shared for the purpose of  mass emailing of the IBC newsletter via a professional tool like Mailchimp.

Public Information and Third Party Websites

(a) Social media platforms and widgets. Our Websites include social media features, such as the Facebook Like and Share buttons. These features may collect information about your IP address and which page you are visiting on our Website, and they may set a cookie to make sure the feature functions properly. Social media features and widgets are either hosted by a third party or hosted directly on our Website. We also maintain presences on social media platforms including Facebook, Twitter, and Instagram. Any information, communications, or materials you submit to us via a social media platform is done at your own risk without any expectation of privacy. We cannot control the actions of other users of these platforms or the actions of the platforms themselves. Your interactions with those features and platforms are governed by the privacy policies of the companies that provide them.

(b) Links to third-party websites. Our Websites include links to other websites, whose privacy practices may be different from ours. If you submit Personal Information to any of those sites, your information is governed by their privacy policies. We encourage you to carefully read the privacy policy of any Website you visit.

Information security

We take reasonable and appropriate measures to protect Personal Information from loss, misuse and unauthorized access, disclosure, alteration and destruction, taking into account the risks involved in the processing and the nature of the Personal Information.

If a security breach is detected we will take the necessary and possible steps to contain the problem and will inform the local authorities and affected persons as applicable for the risks involved.
